QTen HR and Payroll System is specifically designed to automate attendance and payroll processes, reducing manual workload and enhancing productivity. The system offers various features for accurate and efficient payroll calculations, based on both standard and customizable criteria.
Attendance and Payroll Calculation Features
- Automatic Attendance Calculation: The system calculates attendance based on various criteria such as OT (Overtime), Lateness, Shortness, Lunch Taken, and others.
- Customizable Criteria: Additional criteria like Maximum Work Hours, Maximum OT, Good Attendance, Night Shift OT, and Attendance KPI can be added to meet specific company requirements.
- Real-time Updates: Attendance data is updated in real-time, ensuring accurate payroll calculations without manual intervention.
Attendance System Options
- Face Recognition Machine: The system integrates with a face recognition machine that uses three methods for attendance: Fingerprint, Face Print, and RFID Card. This machine is equipped with WIFI and ensures seamless, real-time data syncing with the HR system.
- Web-based Attendance System: Employees can also clock in and out using a web-based system, with automatic data synchronization to the HR system.
Payroll Calculation and Other Inputs
- Non-calculative Inputs: The system supports the inclusion of non-calculative payments such as Commission, Bonus, Allowances, and deductions (e.g., Employee Loans, Accommodation, Uniform Costs, etc.).
- Commission Payment: For more complex commission structures, customizable formulas can be applied to generate accurate payslips.
- Customizable Payslip Formats: The system offers various payslip formats, and additional formats can be included as per company requirements, with no extra charges.
Reports and Documentation
- Summary Reports: The system provides detailed Monthly and Yearly Summary Reports, either by total or by each employee, making payroll management efficient and transparent.
- EA Form Generation: At the end of the year, the system can automatically generate the EA form for each employee, saving significant time and reducing the cost of generating these forms (e.g., RM50 per form).
- Correspondence Letters: The system also offers an add-on feature for issuing standard letters, including Employment Letters, Increment Letters, Promotion Letters, Warning Letters, and Termination Letters, streamlining administrative tasks.

Time Management System - TMS
Efficiently oversee all attendance records in a centralized platform and identify the employee's clock-in location.
Automatically assign shifts and calculate attendance considering various conditions such as overtime, night shift overtime, clock quantity for trip amounts, missed-clock checks, lateness, shortness, maximum overtime, minimum hours worked, and maximum hours worked.
Log attendance using a mobile device with GPS location, and optionally with a Face Recognition Machine that provides real-time clock logs (Face, ThumbPrint, RFID).
The use of machines helps prevent misuse issues compared to traditional punch card systems and ensures automatic calculations, reducing the risk of errors associated with manual calculations.
** The machine can integrate with Door Access systems.
** Suitable for multi-branch scenarios, facilitating supervision across multiple locations.
Human Resources Management System - HRMS
Efficiently handle all employee-related information, encompassing work details, personal information, family details, PCB settings, and customizable records tailored to the company's specific requirements.
Contracts & Payroll System - PS
Access unlimited contracts and pay slips, with the option for employees to access pay slips directly or receive them via email.
Pay slips include Other Inputs, encompassing various inputs not calculated from time attendance, and can be expanded based on requirements. Examples include Worker Advance, Monthly fixed Allowance, or additional Commission calculations.
Leave Management - LM
Utilize e-Leave to seamlessly handle paperless leave applications online.
Recruitment Procedure - RP
Facilitates the streamlined management of resumes and interview procedures with enhanced control.
Appraisal System - AS
Simplify the annual employee evaluation process with an online question-and-answer format, applicable for decisions related to promotions, salary increases, and/or Key Performance Indicators (KPIs) influencing bonus payments.
